Virtual Event Summary
An annual event that attracts international experts, academics, and farm managers alike, this typically in-person accredited conference went virtual in 2020 due to the pandemic. A two-day paid event, it featured 11 sessions in total—six on Day 1 and five on Day 2—presented by soil experts, hydrologists, engineers, government officials, irrigation experts, fertilizer experts, and more. Attendees earned CPE credits for their attendance at each session during the two-day virtual program.
Rally Point Webinars’ Virtual Accredited Event Difference
- For an association and government program that had never before held this signature event virtually, there was much planning and prep work involved on the front end of the virtual event to ensure a well-run, glitch-free signature conference. Rally Point Webinars worked closely with association management and government program facilitators to coordinate the speaker lineup from around the world. Planning began several months ahead of the event date, with Rally Point Webinars coordinating weekly meetings to plan the agenda, technical needs, content for each session, reporting required for the certification component of the event, and more.
- Given Rally Point Webinars’ experience and top-notch virtual event platform, the facilitators were able to feature presentations from various locations and settings around the world, including an expert host located in Morocco and a presenter from a crop research station in the Central Valley of California.
- To prepare the speakers for the virtual event, Rally Point Webinars held a live tech check and rehearsal with each presenter from their location to ensure each production element—including lighting, Internet connection, camera angle and quality, and audio—were all on point. We also ensured the presenter was comfortable with their material, the production timeline, and the event platform.
- The event kicked off with opening remarks from the Secretary of the California Department of Food and Agriculture, discussing sustainable farming, climate change, and new technologies. When planning and hosting a virtual event with government officials and expert speakers from around the globe, it’s important to work with an experienced virtual event production team that works with a variety of personality types, possesses technical expertise, and can bring material to life with various engagement tools and techniques. Rally Point Webinars ensured the farming management virtual conference was a true success, delivering a dynamic event to a paying audience worldwide, with integrated polls and reporting in place to ensure each attendee received their earned amount of credits for certification purposes.
